Unram Organises Technical Guidance for Information Management and Documentation Officers

Mataram, University of Mataram – University of Mataram (Unram) successfully held a Technical Guidance (Bimtek) for Information and Documentation Management Officers (PPID) in the Senate Room of the Unram Rectorate on Wednesday (19/6). The activity was attended by the Vice Rector for Academic Affairs, Prof. Dr. Sitti Hilyana, M.Si.; Head of the Bureau for Planning and Cooperation, Irpan siswandi, S.Sos., M.Si.; Central Information Commission Expert, Siti Ajijah, S.H., M.H. as a speaker; and Bimtek participants from Public Relations (Humas) staff within Unram.‌

Prof. Dr. Sitti Hilyana, M.Si. in her speech said that the openness of information management at Unram is very important. However, it should still pay attention to information that should be shared with the public and information that is confidential to be shared with certain institutions.

“Information disclosure at the University of Mataram is very important to minimise suspicion and misunderstanding. However, information disclosure needs to pay attention to information that should be shared and confidential information which is only shared for certain institutions. Therefore, the role of public relations is needed in the distribution of appropriate public information,” she said.

Unram’s Public Relations Coordinator, Khairul Umam, S.H., M.H in his report also said that Unram had won the informative predicate and it was hoped that public information disclosure could be maintained.

“The duty of public relations as a public institution has an obligation to provide information. In addition, Unram has achieved the highest predicate of public information disclosure, namely as an informative institution category. Therefore, through this activity, it is expected that the websites in the faculties have the same information as the Unram website so that public information disclosure as an informative institution category can be maintained,” he said.

Furthermore, the presentation of the core material was delivered by the Central Information Commission Expert, Siti Ajijah, S.H., M.H. as a speaker related to “PPID Optimisation Strategy in the Faculty”. In her presentation, she explained how the ideal PPID structure with the obligations of public bodies should be in providing correct, accurate, and not misleading public information.

“Public bodies have several obligations, namely utilising electronic and non-electronic facilities; making political, economic, social, cultural, defence considerations; making written considerations of each policy; publishing public information; providing true, accurate, and not misleading public information; and building and developing information systems,” she explained.

In addition, public bodies also have the right to refuse to provide information if the information has the potential to harm the state, concerns personal rights, official secrets, business protection from unfair business competition, and information that has not been mastered or documented.

In addition, Ajijah also mentioned how public information service standards, information dissemination facilities, and the flow of information requests. This material delivery session ended with a discussion and Q&A session by the participants.
